Expenses
The Expenses page collects bills, receipts, and invoices that arrive through your connected email account or that you upload manually.
Unlike the Transactions page — which shows bank-feed data — Expenses focuses on document-based records: a PDF invoice from a vendor, an email receipt from an online purchase, or a photo you take of a paper receipt. Each item shows its source, amount, due date when present, and whether it has been matched to a bank transaction.
The page is intended for anyone who needs a paper trail alongside their bank data — freelancers tracking vendor invoices, small-business owners reconciling bills, or individuals who want receipts attached to their records. Uploaded files are processed automatically: the amount, merchant, and date are extracted and stored as an expense entry.
If there are no expenses yet, the list says 'No expenses yet. Drop a receipt above or link an email account to auto-detect bills.'
How to
Upload a receipt or bill by drag-and-drop or file picker
- On the Expenses page locate the Drop a Receipt or Bill card (left upload area).
- Either drag one or more PDF or image files onto the card, or click the card to open the file picker. Accepted formats are PDF, PNG, JPG, JPEG, and HEIC. Maximum file size is 25 MB per file; a larger file shows an error naming it and is skipped.
- A progress message ('Uploading <file>...', then 'Processing <file>...') appears for each file. The page refreshes automatically when processing is complete and the new expense appears in the Recent Expenses list. The upload is filed under the active business, or under Personal when the scope is All or Personal.
Capture a receipt with your camera
- Click the Take a Photo card (right upload area).
- Your device's camera opens. Take a photo of the receipt.
- The image is uploaded and processed the same way as a drag-and-drop file. The new expense appears in the Recent Expenses list when ready.
Review the Recent Expenses list
- Scroll to the Recent Expenses section below the upload cards.
- Each row shows the merchant name or email subject, category and date (when extracted), source and match pills, and the amount on the right.
- Look for the DUE badge (yellow) on rows that have a due date — these are unpaid bills.
- Look for a ✓ BANK or ✓ BUSINESS ACCT pill to confirm that an expense has been matched to a corresponding bank transaction.
