Shoebox
The Shoebox is a general-purpose document vault for receipts, tax documents, bank statements, business compliance filings, spreadsheets, and any other financial records you want to keep in one place.
Files you upload are automatically processed by Claude: statements have their transactions extracted and imported; receipts are parsed for merchant, amount, date, and card details and matched to the charge on your accounts when one exists; tax returns and business compliance documents (licenses, permits, registrations, annual reports, and the like) are recognized and filed; other documents are stored. The page sorts your files into up to four groups, in this order: NEEDS YOU, COULDN'T READ, READING NOW, and FILED, so you always know what still requires action.
The Shoebox complements the Transactions, Expenses, and Compliance pages by handling the offline or paper side of your financial life. It is especially useful for uploading historical bank statements to backfill transaction history, or attaching scanned receipts to the charge they belong to when your bank feed does not capture the detail.
Each row shows a plain-English line saying what happened to the document, for example how many transactions were added and to which account, or that a receipt was attached to a specific charge. While a file is being read, the row shows a progress bar and the current stage.
You can also get documents in without visiting the page at all: forward them by email. The Forward it in panel at the bottom of the Shoebox shows the address to send to (shoebox@qlife.money) and the list of email addresses allowed to send. Because an email From: header can be forged, only addresses you have registered and confirmed are accepted, and every message must also pass spam, virus and sender-authentication checks. Your sign-in address is trusted automatically. Attachments become Shoebox files exactly as if you had uploaded them; an email with no attachment but a receipt in the body — an order confirmation, for example — has its line items read straight out of the message text.
How to
Forward documents in by email
- Scroll to the Forward it in panel at the bottom of the Shoebox page.
- Press Copy to copy the forwarding address (the button briefly reads Copied), then send or forward any receipt, statement, bill or licence to it.
- Your sign-in address is already confirmed, so forwarding from it works immediately.
- To allow another address — a work account, or a shared household inbox — type it into the field under Allowed to forward and press Add address (or press Enter).
- Open the confirmation email we send to that address and click the link. Until you do, the address shows an AWAITING CONFIRMATION badge and anything it sends is refused.
- Forwarded documents appear in the file list within a couple of minutes and are processed exactly like uploads.
- If a forward does not arrive, check the panel: a refused message records the reason in yellow under the address that sent it.
- To stop accepting mail from an address, press Remove next to it and confirm. The sign-in address has no Remove button.
Upload files to the Shoebox
- On the Shoebox page locate the Drop files here or click to upload dropzone.
- Either drag one or more files onto the dropzone, or click it to open the file picker. Accepted formats are PDF, PNG, JPG, JPEG, HEIC, GIF, CSV, XLS, XLSX, DOC, and DOCX. Maximum 100 MB per file.
- A progress message (Uploading N file(s)...) shows while files upload. Each file is automatically queued for processing after the upload completes. A file over 100 MB is skipped with a message naming it, and a failed upload shows Failed to upload followed by the file name.
- The file list refreshes when the uploads finish. New files appear under READING NOW with a progress bar until processing completes.
Assign a file that needs you to an account
- Files under NEEDS YOU could not be automatically matched to an account. Locate the file row.
- Review the details we read off the document. For statements: Looks like (institution name), the last 4 digits, the transaction count and the period. For receipts, bills and invoices: From (merchant), the amount, the date, and the card it was paid with.
- Open the Pick an account… dropdown and select the correct account. If you press Assign without choosing one, the row says Pick an account first.
- Click Assign. The page refreshes and the file moves to FILED.
Create a new account and assign a file to it
- On a NEEDS YOU row, click + Create new account.
- The modal is titled Add Account for this Statement, or Add the Card This Was Paid With when the file is a receipt, bill or invoice.
- Confirm or fill in Institution name (required), Account type (Depository (checking / savings), Credit, Investment, Loan, or Other), Subtype, and Last 4 digits (optional). Fields are pre-filled from the extracted data when available.
- Click Create & Assign (or Cancel to back out). A new account is created and the file is attached to it. If a business is selected in the scope switcher, the account is created under that business.
- The modal closes and the page refreshes with the file in FILED.
Preview a file or move it to another account
- Click the eye icon (Preview) on the right of any row to open the preview modal.
- PDFs that were read as statements open one page at a time with ‹ Prev and Next › buttons (or the left and right arrow keys, with a Page N / total counter). Other PDFs open as a page-turning flipbook with the same Prev and Next buttons.
- Images are shown inline. For file types that cannot be previewed, click Open / Download to open the file in a new tab. Open in new tab in the modal header does the same for any file.
- To reassign the upload, click Move… in the modal header, pick the target account, and click Move. The file and every transaction it created move to that account, and personal or business scope follows the target.
- Click the × button, or click outside the modal, to close the preview.
Retry or reprocess a file
- A file under COULDN'T READ shows a red explanation and, in smaller type, the technical reason when we have one. If the message says our document reader was unavailable, nothing is wrong with your file. Otherwise it may be password-protected or a photo of a screen, and a fresh download from your bank usually works.
- Click the retry icon (circular arrows, tooltip Retry processing) on the row to re-queue it. When there is more than one failed file, the COULDN'T READ header offers Retry all (N) instead.
- A file under FILED that was stored but not identified shows a retry icon too (tooltip Reprocess this file). When more than one file is like this, the FILED header offers Reprocess unclassified (N); confirm the prompt, since each file is re-read by the document AI.
- The page refreshes after a short delay. If a file still fails, the reason is shown again.
Delete a file
- Click the trash icon on any row, or click Delete on a NEEDS YOU row.
- Confirm Delete this file? in the prompt that appears.
- The file is permanently removed and the list refreshes.
Reference
- NEEDS YOU section
- Files we read but could not match to an account. Each row shows what we read plus a Pick an account… dropdown with Assign, + Create new account, and Delete buttons.
- COULDN'T READ section
- Files whose processing failed. Rows show why, and a retry icon. With more than one, the header has a Retry all button.
- READING NOW section
- Files that are queued or being processed. No action is needed; each row shows a stage message (In the queue, Reading…, Saving what we found…) and a progress bar, and moves on when processing completes.
- FILED section
- Files that finished processing. Click a row to expand the extracted details (headed EXTRACTED AS followed by the document type). Use the eye icon to preview.
- File type icon (PDF / IMG / XLS / DOC)
- A badge on every file row indicating the format: PDF for .pdf files, IMG for image files (.png, .jpg, .jpeg, .heic, .gif), XLS for spreadsheets (.csv, .xls, .xlsx), and DOC for all other formats.
- Category and document-type badges
- A small pill after the file name. On FILED and other rows it shows the file's category in capitals when it is anything other than general. On NEEDS YOU rows it shows the detected document type, such as STATEMENT, RECEIPT, BILL, INVOICE, or PAYMENT_REMINDER; that type decides which details are shown.
- Outcome line
- A short line below the file name saying what happened. Examples: 'N transactions added to [account], [period]' (green, with '(new account created for it)' when we created the account), 'Attached to your [amount] charge at [merchant] on [date]' (green), 'Added as a [amount] expense at [merchant] — we couldn't find a matching charge on your accounts' (green), 'Saved as a [filing type] for [business] — we'll remind you before [date]' (green, compliance documents), 'Filed as [business's or your] [year] return ([form])' (green, tax returns), 'Which account is this? …' (yellow), 'Stored, but we couldn't tell what it is — it's searchable, and you can file it by hand' (yellow), an error explanation (red), or an In the queue / Reading… message (muted).
- Create new account fields
- Institution name (required), Account type (Depository (checking / savings) / Credit / Investment / Loan / Other), Subtype (free text, e.g. checking, brokerage, 401k), Last 4 digits (optional). Submitting creates the account and immediately assigns the file to it.
- Move…
- In the preview modal header. Reassigns the upload and every transaction or expense it created to another account you choose.
- Forward it in panel
- Shows the forwarding address with a Copy button, the Allowed to forward list, and an Add address field. Each address has a badge: CONFIRMED (with a count of items received) or AWAITING CONFIRMATION. Addresses you added have a Remove button.
- Accepted file formats and size limit
- PDF, PNG, JPG, JPEG, HEIC, GIF, CSV, XLS, XLSX, DOC, DOCX. Maximum 100 MB per file. A file above 100 MB is skipped with an error message before upload begins.
