Transactions
The Transactions page is the primary feed of bank-connected activity from Plaid, Financial Connections (FC), and Treasury sources, plus any transactions you add by hand.
It shows every inflow and outflow across your linked accounts in one place, letting you assign scope (Personal or a specific business), apply expense categories, attach IRS lines, split a charge across categories, and add a note about what it was for.
The page is designed for both day-to-day review and periodic categorization work. You can browse by list or calendar, zoom by day, week, month, or year, filter down to one or more accounts, search across all dates at once, or select multiple rows and edit them in one action. The page follows the scope switcher (Personal, a business, or All). The header shows the count of transactions in view with the total out and total in. An embedded Claude chat drawer lets you describe what you want, such as "tag all Amazon charges as office expense for VGM LLC", and Claude proposes the changes before you confirm them.
How to
Switch view and time window
- Click List or Calendar to toggle between the flat table and the calendar view.
- Click day, week, month, or year to set the window. In List view the table shows only transactions inside that window.
- Use the ← and → buttons to move the window backward or forward by one unit.
- Click Today to jump the window back to the current date.
- In Calendar view, click a day in the month grid to open that day, or click a month in the year grid to open that month.

- Click additional chips to add more accounts to the filter.
- Click All accounts to clear the filter and show every account in the active scope.
Search across all transactions
- Type in the Search merchant, category, amount… box. The search runs as you type and matches merchant, description, category, account label, date, and dollar amount.
- While a search is active the view toggles and date-window arrows disappear, the list view is used, and a 'Searching all dates' label appears. All loaded transactions are searched regardless of the selected window, and the header switches to a match count.
- Click the × button inside the search box to clear the search and restore the date window.
Categorize a single transaction
- Find the transaction row and click Edit.
- In the Assign modal, click Personal or Business under Scope. If Business, choose the business from the Business dropdown.
- Select a category from the Category dropdown, or choose + New category… to create one.
- Optionally select an IRS line from the IRS line (optional) dropdown. Business scope offers Schedule C lines; Personal scope offers Schedule A (itemized) and Schedule E (rental / royalty) lines.
- Optionally fill in Capture the story: what the charge was for and who was there. A 📝 icon appears next to the merchant once a note exists.
- To apply the same settings to all existing and future transactions from the same merchant, check Apply to all transactions from [merchant] (and future ones).
- Click Save.
Bulk-categorize multiple transactions
- Check the checkbox at the left of each transaction row you want to edit, or click the header checkbox to select all visible rows.
- When at least one row is selected a highlighted bar appears showing 'N selected'.
- Click Assign / categorize in that bar (or Clear to deselect).
- Set Scope, Business (if applicable), Category, and IRS line in the modal, then click Save. The note and merchant-rule options are not offered for bulk edits.
Add a transaction by hand
- Click + Add in the page header.
- Choose the Account, then Type (Expense or Income), Date, Amount ($), and Merchant.
- Choose Scope (Personal or Business, and which business), and optionally a Category, IRS line, and Note.

Split a transaction across categories

- Enter an amount for each line and pick a Category and IRS line for it. Click + Add line for more lines, or × to remove one.

- Click Save split. The transaction then shows a Split badge with one row per line. Click Edit split to change it, or Remove split to restore the single transaction.
Manage categories and merchant rules
- Click Categories & Rules.
- To add a category click + Add; if you have no categories yet you will be offered the option to import a standard set.
- To delete a category click the × next to its name. Existing transactions keep their label.
- To delete a merchant rule click Delete next to the rule. Existing transactions keep their assignment.
- Close the modal when done.
Export transactions to CSV
- Choose the scope you want in the scope switcher (Personal, a business, or All).
- Click ↓ Export CSV.
- A file named qlife-transactions-YYYY-MM-DD.csv is downloaded. The export follows the active scope; it does not use the date window or account chips.
Ask Claude to triage transactions
- Click ✪ Ask Claude to open the side drawer.
- Type a plain-English request in the input field, for example: "what's uncategorized this month?" or "move all Starbucks to personal, category Coffee". Press Enter or click Send.
- Claude replies with a summary and one or more proposal cards, each showing the number of transactions affected and the proposed scope, category, and IRS line.
- Click Confirm on a proposal card to apply it, or Dismiss to ignore it. Claude never changes anything without your confirmation.
Reference
- View toggle (List / Calendar)
- Switches between a table (List) and a date view (Calendar). Neither toggle is shown while a search is active; search always uses the list.
- List columns
- Date, Merchant, Category, Scope · IRS, Account, and Amount. Click a column heading to sort by it; click again to reverse. Outflows are white and inflows are cyan.
- Granularity (day / week / month / year)
- Controls the time window. In Calendar view, day and week render a list of each day with its transactions and a raw-JSON {} button; month renders a 7-column Sun-Sat grid showing count and total per day; year renders a 4x3 grid of months with counts and totals. Clicking a day cell opens that day; clicking a month cell opens that month.
- Account chips
- Toggle buttons for each linked account that has transactions in the active scope. Active chips are highlighted in purple. Selecting none is equivalent to All accounts. Multiple chips can be active at once.
- Scope badge
- Shows Personal or the business name on each row. Rows with no assignment show Unassigned in muted text.
- IRS line
- An optional IRS taxonomy line attached to a transaction, shown after the scope badge in the Scope · IRS column. Business transactions draw from Schedule C; personal ones from Schedule A and Schedule E.
- Apply to all transactions from [merchant]
- A checkbox in the single-transaction editor. When checked, saving creates a merchant rule that also applies the same scope, category, and IRS line to all existing transactions from that merchant and to future ones as they sync.
- Merchant rules (Categories & Rules modal)
- Saved rules that automatically categorize transactions by merchant name. Each rule shows the merchant, the scope or business, the category, and the IRS line. Rules are created via the 'Apply to all transactions from…' checkbox and deleted in the Categories & Rules modal.
- Capture the story
- Two optional fields in the single-transaction editor, 'What was this for? What did you discuss?' and 'Who was there?'. They record the business purpose of a charge for a future audit.
- Split / Edit split
- Divides one charge into two or more category lines whose amounts add up to the original. A split transaction shows a Split badge and one row per line.
- {} button
- Opens a window showing the raw JSON for that transaction, with a Copy button. Useful for support and debugging.
- Ask Claude proposals
- Structured change proposals returned by Claude in the ✪ Ask Claude drawer. Each card shows a transaction count, the proposed scope/category/IRS assignment, and a rationale. Each must be individually confirmed; a confirmed proposal shows ✓ Applied.
