Invoices

The Invoices page is where a business bills its clients, takes payments, and tracks what it's owed.

Because invoices always belong to a business, the page works within the business currently selected in the account switcher — if you're in All or Personal scope, it asks you to pick a business first. Three tabs organize the work: Invoices (the list of everything billed, with its status and balance), Clients (the people and companies you bill), and AR Aging (a breakdown of outstanding balances by how far past due they are). Amounts are entered in dollars and stored as cents; tax is entered as a percent. The server recomputes every subtotal, tax, and total, so the figures you see always reflect the authoritative record.

How to

Add a client

  1. Open the Invoices page and select the Clients tab.
  2. Click + Add client.
  3. Enter the client's name (required) and email, plus optional phone, currency, payment terms, and billing address.
  4. Click Save client. The client is now selectable when creating an invoice.

Edit or delete a client

  1. Open the Clients tab, which lists Name, Email, Phone and Terms.
  2. Click Edit to change a client, then Save client.
  3. Click Delete and confirm 'Delete this client?'. Their invoices are not removed.

Create and send an invoice

  1. Click + New invoice at the top of the page. If you have no clients yet, the dialog says 'You need at least one client before creating an invoice' with an 'Add a client' button.
  2. Pick the client, set the Issue date and Due date (due defaults to 30 days out), and add one or more line items (Description, Qty, Unit $, and Tax %); use '+ Add line' for more.
  3. Watch the live Subtotal, Discount, Tax, and Total update as you type; add an optional Invoice discount ($) or Notes.
  4. Click Create invoice — it is saved as a draft. While it is a draft you can reopen it with View and click 'Save changes'.
  5. Back on the Invoices tab, click Send on the draft and confirm with 'Send invoice'. Stripe emails the invoice to the client's email address with a page where they can pay by card or bank transfer. The client needs an email address, and the business needs a QLife Money for Business account. Only owners and admins can send.
  6. A confirmation dialog, 'Invoice sent', shows the payment link with Copy link and PDF buttons so you can share it yourself.

Filter, view, or delete invoices

  1. On the Invoices tab, use the status menu (All statuses, Draft, Sent, Partial, Paid, Cancelled) and the client menu (All clients) to narrow the list.
  2. Click View to open an invoice. A draft can be edited; once it is sent, paid, or cancelled it opens read-only.
  3. Click Delete and confirm to remove an invoice. If it was already sent through Stripe it is also voided there, so the client can no longer pay it. This cannot be undone.

Record a payment

  1. On the Invoices tab, find a sent or partially paid invoice.
  2. Click Record payment.
  3. Enter the amount received (it starts at the outstanding balance), choose the method (Stripe / card, Cash, Check, or Other), and set the date.
  4. Click Record payment. The invoice's balance and status update automatically — it becomes Partial or Paid.

Review accounts receivable aging

  1. Open the AR Aging tab.
  2. Read each client's outstanding balance split into Current, 1–30, 31–60, 61–90, and 90+ days past the due date.
  3. Use the Total row at the bottom to see the whole business's receivables at a glance.

Reference

Status badge
Draft (not yet sent), Sent, Partial (part-paid), Paid, or Cancelled. An invoice past its due date and not fully paid shows a red Overdue badge instead, and its due date turns red.
Balance
What remains owed on an invoice — the total minus payments recorded to date. A zero balance means the invoice is paid in full.
Stripe page
The invoice's payment page on Stripe, where the client pays by card or bank transfer. Stripe emails it when you send, and you can copy the link to share it yourself. When the client pays, the invoice is marked paid here automatically.
Resend
Shown on a sent or partially paid invoice that went through Stripe. Opens a confirmation, then emails the same invoice again from Stripe. It doesn't create a second invoice.
Locked amounts
Once an invoice is sent through Stripe, its amounts and client can't be changed. To correct it, use Delete (which voids it on Stripe) and create a new one. Recording a cash or check payment that settles it also marks it paid on Stripe, so the client stops getting reminders.
AR Aging
Accounts-receivable aging: outstanding balances grouped by client and by how many days past due they are (Current, 1–30, 31–60, 61–90, 90+), so you can chase the oldest debts first.
